Privacy Policy
ChalkArc is parent-controlled and private by default.
Information we collect
We collect parent and guardian account information, athlete profile details, gymnastics programs and levels, meet history, scores, awards, uploaded photos, profile privacy choices, text-message consent records, payment order status and transaction identifiers, and security or service logs needed to operate ChalkArc. Our payment processor handles card information; ChalkArc does not store full card numbers.
How information is used
Information is used to provide athlete profiles, historical statistics, meet-day tools, password recovery, family access, platform support, and optional athlete-specific text alerts. We do not sell personal information or share it for targeted advertising. Athlete profiles are not placed into ChalkArc discovery features unless an authorized parent or guardian explicitly changes that athlete to Discoverable.
Parent controls
A family owner chooses whether an athlete profile is Private, protected by a Family Code, Shareable by direct link, or Discoverable. Shareable profiles are intended for direct-link sharing and are not eligible for ChalkArc discovery features. Discoverable profiles may become eligible for ChalkArc search, state lists, or spotlight features only after an authorized parent or guardian explicitly selects that setting. Parents and authorized guardians may download athlete data and may request correction or deletion by contacting us. Account and privacy controls remain available if a season becomes read-only.
Sharing and service providers
We disclose only information necessary to service providers that host ChalkArc, deliver account email, or transmit requested text alerts; to comply with law or protect safety and platform security; or as directed by the family through its profile privacy settings. Mobile information and SMS consent are never sold or shared for third-party marketing or promotional purposes.
Security and retention
We use family-level data separation, password hashing, secure sessions, access checks, rate limiting, and audit records. When an unpaid free trial expires, the athlete profile, saved history, Meet Day and editing are locked until the family subscribes. Parents can still sign in to manage their account and subscription. Unpaid trial data is retained until ChalkArc’s annual summer account cleanup, with notice before permanent deletion. Founding and paid-family records are retained while the family maintains its profile and only as long as reasonably needed for service, security, legal, backup, and operational purposes. Deleted information may remain briefly in protected backups before routine removal.
Your choices and requests
An account holder may update their name, verified email, and password in My Account. Family owners may download athlete data and request access, correction, or deletion by contacting privacy@chalkarc.com. We may verify identity and authority before completing a request.
Children’s information
Only adults age 18 or older who are a parent, legal guardian, or authorized family adult may create or control accounts. Children may not independently create accounts, provide text-message consent, or submit personal information to ChalkArc.
